Main purpose of the role:

To provide high-level HR administrative support ensuring a professional and efficient HR service to all customers while maintaining data accuracy at all times.

Key responsibilities:

  • Provide 1st level ER and labor law support to employees and managers
  • Prepare and communicate all additions deductions and changes to the payroll processing agency. Respond promptly to all questions from the payroll processing agency. Check the payroll summary files from the payroll processing agency to ensure accuracy. Administer the payslip portal including resetting passwords. Answer employee’s questions on payroll in a timely and accurate manner.
  • Conduct Payroll reconciliation
  • Prepare contracts of employment and associated paperwork for new hires, transfers and leavers ensuring all documents are distributed in a timely manner to the relevant parties. Keep the corresponding templates up to date and legally current
  • Fully responsible for data accuracy of employee data in Vienna. Create and maintain employee records on the HR Management System (HRMS) and any other filing systems as required
  • Prepare contracts of employment and associated paperwork for new hires, transfers and leavers ensuring all documents are distributed in a timely manner to the relevant parties. Keep the corresponding templates up to date and legally current
  • Enter new employees in the time tracking system. Maintain the system and check entries against approved absences monthly
  • Ensure that accurate filing systems are in place and that documents are filed promptly and accurately
  • Own and document HR admin processes and improve them as necessary. Onboard new HR colleagues on these processes
  • Manage the candidate relocation process and candidate travel requirements
  • Manage all immigration requirements for new employees
  • Manage the organizations probationary process ensuring reviews are completed in time and the new starters are supported during their review period by conducting the required catchups
  • Any task assigned from time to time by the supervisor to meet the HR service delivery of the HR team. Collaborate and contribute to areas to support other team members when needed
  • Able to manage and run minor projects.
  • Improvement and documentation of HR processes in one’s own area of responsibility and support and contribute to other HR processes
  • Conduct maternity information meetings
  • Prepare and generate employee related reports as and when needed
  • Research and participate in various HR projects
  • Issue reference letters for employees upon request

Occasional:

  • Supporting the HRops in their tasks as required
  • Organize and co-ordinate company employee events as required
  • Provide administrative support services as required for other locations

What competencies and experience will this person need in order to be successful in the job?

Essential:

  • Thorough knowledge of Austrian labour law
  • Payroll experience
  • At least 1-year relevant experience of working within a busy, fast paced HR function
  • Good use of Microsoft Office Suite e.g. Excel, MS Word, PowerPoint
  • Fluent German and very good English
  • Experience and understanding of Employee Relations and HR policies and processes
  • Excellent communication and interpersonal skills
  • Highly organized with a high level of accuracy
  • Flexible and able to adapt to continually reprioritize as necessary

Desired:

  • Generalist HR experience
  • Knowledge of the implications of the Data Protection Act and Electronic Communications Act
  • Basic Payroll knowledge
